Meeting Minutes – Applicaal – January 2, 2025

Meeting Subject:

Decisions and Responsibilities:

1. Taxation Process:

Mr. Moeinimehr is responsible for proceeding with the T2 taxation form (2024) for the company.

2. Applicaal Application Upgrades:

Dr. Chehrei presented a comprehensive report on the current state of the Applicaal application and suggested high
quality upgrades based on previous research and new requirements. The proposed improvements include:

A) Enhancing Accessibility for Users with Disabilities:

  • Adding descriptive alternative text for all images and icons (e.g., for a scheduling icon, use “Appointment
    Scheduling Icon”).
  • Ensuring a minimum text contrast ratio of 4.5:1 for improved readability.
  • Providing an option to extend time for time-sensitive actions such as appointment booking.
  • Implementing alternatives for gesture-based actions (e.g., allowing clicks instead of
    swiping).
  • Using simple and clear language for system messages and instructions.
  • Maintaining consistent navigation throughout the application (e.g., keeping the “Home” button in a
    fixed position).
  • Enabling font size customization for improved readability.
  • Adding clear form labels to enhance usability for users with cognitive challenges (e.g., replacing “Enter details” with “Enter
    your email (required)”).

B) Visual, Structural, and Functional Upgrades:

  • Improving the design, graphics, and structure of the application.
  • Adding telemedicine services for specific healthcare needs.
  • Introducing additional criteria for healthcare provider recommendations based on the previous AI’s
    research, such as:
    • Type of service (home visits, office visits, telemedicine).
    • Previous ratings.
    • Distance from the patient
  • Expanding the list of services offered through the application.
  • Revising online contracts between healthcare providers and Applicaal, including :
    • Terms and conditions of the service agreement.
    • Responsibilities of healthcare providers.
    • Privacy policy.
    • Limitation of liability.
    • Authorized person declaration forms.
  • Providing a summary of services for patients within the application.
  • Upgrading the rating system and incorporating previous ratings to improve healthcare provider recommendations.
  • Ensuring all upgrades are based on the prototype version of the application.

C) Multi-Platform Development:

  • The upgraded application will be designed for four platforms:
    • Web (desktop & mobile versions).
    • Android.
    • iOS.
  • The final version will be delivered to Applicaal in its entirety.
  • Dr. Chehrei is commissioned to research potential companies and prepare an R&D contract for the application upgrade as
    soon as possible.

3- Website Enhancements:

  • Ms. Rashti reported technical issues, bugs, and potential online risks associated with the Applicaal website.
  • The team decided to:
    • Upgrade the website’s host and domain (Applicaal.ca).
    • Enhance the website’s structure, design, and domain length as soon as possible.
    • Improve SEO (Search Engine Optimization) through an outsourced R&D contract.

4- Social Media Strategy:

  • Ms. Rashti presented an update on the company’s social media presence (LinkedIn, Instagram, and the
    website).
  • After discussion, the team agreed to review and refine the social media strategy under Ms. Rashti’s
    supervision. 

5- Research & Development Contracts:

  • Mr. Etemadfar is responsible for preparing and signing two R&D contracts for:
    • Upgrading all versions of the Applicaal application according to the discussed improvements.
    • Enhancing the company website (Applicaal.ca).
